Compare User Access in HubSpot: A Step-by-Step Permission Guide

October 8, 2025

Why Comparing User Access Matters

Managing permissions in HubSpot can feel like you're flying blind. You've got multiple humans working across different hubs, and you need to make sure everyone has exactly what they need. No more, no less. That's where HubSpot's compare access feature becomes your secret weapon. It lets you stack two users side-by-side and see exactly where their permissions differ, without all the guesswork.

How To Compare Access Between Two Users

Step 1: Navigate to Users and Teams

First things first, you'll want to get into your HubSpot settings. Click that gear icon in the top right corner of your account. From there, look for "Users and Teams" on the left-hand side and click it. You're now in the right place to compare permissions.

Step 2: Select Your Two Users

Here's where it gets simple. Select the first human you want to compare. Then select the second one. It doesn't matter who you pick, just make sure you're comparing the right pair. Once you've selected both users, you'll notice a "Compare Access" link appears on your screen. That's your green light to move forward.

Step 3: Click Compare Access

Hit that compare access link. You're now looking at a side-by-side view of both humans' permissions. HubSpot automatically hides similarities by default, so you're only seeing what's actually different between the two accounts. This keeps things clean and focused.

What You Can Compare

The compare view gives you visibility into several key areas:

  • User details and seat types
  • Permission sets assigned to each human
  • Team assignments
  • CRM object access across all hubs
  • Settings-level permissions

You'll see different access levels for Marketing Hub, Sales Hub, Service Hub, and more. Everything that matters for controlling what each human can do in your HubSpot instance is right here.

Making Changes On The Fly

Here's the beauty of this feature: you don't have to leave the comparison view to make updates. Hover over any permission on either side (left for the first human, right for the second), and you can edit it right from there. Want to adjust something for one of them? Go ahead. You can fine-tune permissions without jumping between multiple screens.

The Real Takeaway

Using the compare access feature takes the confusion out of permission management. You're not guessing anymore. You're seeing exactly what each human can access, and you can make smart decisions about who needs what. This is how you keep your HubSpot instance organized and secure.

The feature's straightforward, it's fast, and it works. Now go out there and be the HubSpot hero your team needs. Remember, knowledge is great, but execution is where the real magic happens.
