Build Your First HubSpot Email Template: A Step-By-Step Guide

June 7, 2025

Ready to streamline your sales outreach? One of the best ways to save time and maintain consistency is by creating email templates in HubSpot. Whether you're sending one-off messages or running automated email sequences, templates'll help you get the job done faster without sacrificing personalization.

Let's walk through exactly how to build your first email template from scratch. It's easier than you might think, and once you've got one set up, you'll wonder how you ever managed without it.

First things first, you've gotta get to the right spot in HubSpot. Here's how:

  1. Log into your HubSpot account
  2. Look to the left side navigation panel
  3. Click on "Library"
  4. Select "Templates" from the dropdown menu
  5. Click the "New Template" button in the top right corner

You'll now see a blank canvas ready for your template creation. This is where the magic happens.

Set Up Your Template Name And Subject Line

Start by giving your template a clear, descriptive name. This helps you find it quickly when you're in the middle of a sales conversation. You'll also want to add your subject line at the top of the template.

Here's a pro tip: make your subject line clear and compelling. You want humans to actually open your emails, so avoid generic phrases and instead focus on what's relevant to them. Once you've got your subject line in place, you can use it as your template name too. It'll make organization way easier down the road.

Add Personalization Tokens For Human Connection

This is where your template goes from generic to genuinely valuable. Personalization tokens let you automatically insert contact-specific information into each email. No more copy-paste mistakes or forgetting someone's name. Here's what you can do:

Insert Contact First Name

To add a human's first name:

  1. Position your cursor where you want the name to appear (usually in your greeting)
  2. Highlight the text area where you'd like it inserted
  3. Click the "Personalize" button
  4. Search for and select "Contact First Name"

Now when you send this template, it'll automatically pull in each person's first name. Talk about a personal touch.

Add Your Agency Name Or Branding

After your personalized greeting, include your company name and a warm welcome message. Something like: "Welcome to Sidekick Strategies from [Contact First Name]." This establishes credibility and makes humans know exactly who's reaching out.

Want to make it easy for humans to book time with you? Add a meeting link token:

  1. Position your cursor where you want the link
  2. Click "Personalize"
  3. Search for "Meeting Link" or "Scheduling Tool"
  4. Select your own meeting link from the options

This automatically embeds your calendar link, removing friction from the conversation. Humans can click directly to schedule instead of going back and forth on timing.

Want to build trust and showcase your expertise? Link to relevant content or resources. Maybe it's a case study, whitepaper, or guide like "The State of Content Marketing." To add a link:

  1. Highlight the text you want to link
  2. Click the link icon
  3. Add your resource URL

This gives humans immediate access to valuable information and positions you as a resource, not just another sales pitch.

Sign With Your Contact Owner Name

End strong. Add a personalization token for your contact owner's name:

  1. Position your cursor after "Best Regards" or your chosen sign-off
  2. Click "Personalize"
  3. Search for "Contact Owner"
  4. Select it to add their name automatically

This ensures that whoever owns the contact relationship will have their name on the email. It's a small detail that adds authenticity.

Save And Start Using Your Template

Once you're happy with your template and all your personalization tokens are in place, click "Save Email Template." You're done. Now you can access this template anytime you need it.

Head to your CRM contacts section, select any contact, and you'll be able to pull up your new template and send it out. Whether you're using it for one-off emails or building it into a sales sequence, you've now got a professional, personalized template ready to work for you.

Creating templates might seem like it takes extra time upfront, but it'll pay dividends. You'll send more consistent, personalized messages faster, and your humans will feel that extra care in their inbox.
