Why Your Customer List Matters
If you've been using HubSpot for a while, you know that lifecycle stage is one of the most powerful contact properties in your entire system. But here's what a lot of folks miss: just because someone has a "customer" lifecycle stage doesn't mean they're still actively buying from you. That's why we're gonna show you how to build a customer list that tells the real story about who's actively engaged with your business and who's gone dormant.
The key to this whole thing is combining two properties that work beautifully together: lifecycle stage and customer status. Think of it as having a complete picture instead of just half the story.
Step-By-Step: Creating Your Active Customer List
Step 1: Head To Your Lists Section
Start by navigating to your Contacts section in HubSpot. From there, click on "Lists" and you'll see the option to create a new list. This is your starting point for building something that'll actually help you segment your data the right way.
Step 2: Name Your List And Set It Up
Give your list a clear name like "Active Customers" so everyone on your team knows exactly what it represents. Make sure you're creating a contact-based list, then hit next to move forward.
Step 3: Add Your First Filter: Lifecycle Stage
Here's where the magic starts. Add a filter and select the "Lifecycle Stage" property. Set the condition to "is equal to" and choose "Customer." This filter alone will grab all contacts who've been marked as customers at some point. You should see your list start to populate with these contacts.
Step 4: Add The Status Property Column
Now, your list is showing customers, but you can't see their status yet. You'll want to add that column so you can see who's active and who isn't. Click on "Actions" then "Edit Columns." Search for and add the "Status" property. Save your changes, and now you'll have complete visibility.
Step 5: Add Your Second Filter: Active Status
This is the part that separates active customers from your dormant ones. Add another filter for the "Status" property and set it to "is equal to" and choose "Active." Now your list is showing only the humans who are both marked as customers AND currently active in your business.
How Status Gets Set In The First Place
You're probably wondering, "How does HubSpot know if someone's active or inactive?" Great question. There are a couple ways to handle this.
You can set status manually by going through contacts individually. But if you've got Marketing Hub Pro or above, here's the smarter move: create a workflow that automatically identifies your criteria for what "active" means. Maybe it's based on recent email opens, demo attendance, or purchase history. Set up the workflow once, and it'll do the heavy lifting for you.
What You Can Do With This List Now
Once you've got this list built, you've unlocked some serious possibilities. You can use it for targeted email campaigns, segment your sales outreach, run specific reports on your most engaged customers, or even trigger automation based on customer activity.
This is the kind of segmentation that moves the needle on your metrics because you're working with data that actually reflects reality instead of just assumptions.
