You're Probably Using HubSpot Reports Wrong
Here's the truth: most humans spend way too much time wrestling with HubSpot's custom report builder when they don't actually need to. We get it. The custom report builder looks powerful, and it is. You can pull tons of data and customize it six ways to Sunday. But here's the catch: it's complicated if you don't know exactly what you're doing.
The good news? You probably don't need that level of complexity. Most of the time, what you're looking for lives in HubSpot's single object reporting section, and it's infinitely easier to use. Let's walk through how to create a simple yet powerful report that shows you exactly what you need to know.
Creating Your First Single Object Report
We're going to build a report that shows you the count of contacts at each lifecycle stage. This is the kind of report that gives you real insight into where your humans are in their journey. Here's how:
Step 1: Navigate to Reports
- Log into your HubSpot portal
- Go to the Reports section
- Click the orange Create Report button
- Select Single Object Report
Step 2: Choose Your Object
In this example, we're working with Contacts. Select Contacts from the available options. The system will automatically pull in some helpful default properties like Create Date and Lifecycle Stage, which are perfect for our use case.
Step 3: Build Your Visualization
Now here's where the magic happens. Click on the Visualization tab and drag the properties you want to display. For this report, you'll want:
- Lifecycle Stage
- Count of Contacts
Hit create, and you'll instantly see a bar chart showing your contacts broken down by stage: Leads, MQLs, SQLs, and Customers. But we can make this even better.
Step 4: Choose Your Chart Type
A pie chart tells the story differently. It shows you not just the numbers, but the proportion of your total database at each stage. Want to see just contacts created this quarter? Add a filter. Want to exclude a certain segment? Easy. Click into the Create Date filter and adjust the timeframe to match what you're actually trying to analyze. This keeps your report focused and actionable.
